Job Description

AECOM Mississauga is hiring an Office Manager. The SRS Office Support Coordinator serves as the on-site point of contact for day-to-day office operations and administrative coordination for the SRS delivery team. Acting in the capacity of an Office Manager, this role supports a professional, efficient, and collaborative work environment by managing office logistics, administrative services, and coordination between Delivery Partner and Metrolinx teams. This position is essential to ensuring that the office continues to run smoothly and that staff have the tools, information, and support needed to perform effectively.

Responsibilities:

Office Management & Daily Operations

  • Oversee daily office operations, including supplies, equipment, access, and workspace maintenance.
  • Serve as primary liaison for building management, IT, and facilities teams on operational matters.
  • Manage shared spaces (meeting rooms, common areas) to support efficient use and a professional environment.
  • Track and resolve day-to-day office issues, escalating facility or equipment needs when required.

Administrative & Team Support

  • Coordinate scheduling, meeting logistics, and preparation of materials for internal and external engagements.
  • Support documentation and communication processes, including distribution of updates and notices to the SRS team.
  • Assist in organizing workshops, events, and team meetings to promote collaboration and alignment.

Onboarding & Resource Coordination

  • Manage onboarding logistics for new team members, including workspace setup, access, and orientation to office procedures.
  • Maintain and update staff seating plans, distribution lists, and contact directories for the SRS office.

Continuous Improvement & Tracking

  • Maintain logs and trackers for office operations, equipment, and service requests to ensure accountability and efficiency.
  • Identify and implement opportunities to enhance workplace organization, communication, and employee experience.
  • Provide summary updates on office utilization, needs, and improvement actions to the Business Support Lead.

Qualifications

Minimum Requirements

  • Diploma or certificate in Office Administration, Business Operations, or Facilities Coordination.
  • Minimum 2 years of office management or administrative experience in a corporate or project-based setting.

Preferred Qualifications:

  • Ideally 4+ years office management or administrative experience in a corporate or project-based setting.
  • Strong interpersonal, organizational, and multitasking skills with attention to detail.
  • Proficient in Microsoft Office, SharePoint, and collaboration tools (Teams, Planner, etc.).

Measures of Success

  • Smooth, efficient daily operation of the SRS office environment.
  • Positive feedback from staff on responsiveness and support quality.
  • High standard of organization, cleanliness, and professionalism in the workspace.
  • Effective communication and collaboration across the SRS and Business Support teams.
  • Demonstrated improvement in efficiency and coordination of administrative and operational functions.

Offered rate of compensation will be based on individual education, qualifications, experience, and work location. The range for this position is $72000 to $90000.
