This is an onsite role requiring a commitment to a Friday-Sunday 6:00 AM - 6:30 PM CST schedule. Your typical day as an Order Management Specialist will be fast-paced and varied. You'll start by reviewing daily reports to identify priority orders and potential bottlenecks in the order fulfillment process. You'll communicate regularly with Materials, Operations, and Fulfillment centers to coordinate shipments and address any issues that arise. You will be deeply involved in technical research, working to find the best solution to meet customer claims. You'll also be responsible for generating reports to track SLA attainment and provide insights to stakeholders. Responsibilities

  • Manage communication with Materials, Operations, and Fulfillment centers to process insurance orders and ensure timely device shipment within SLA.
  • Utilize the warehouse management system (Oracle) to modify, migrate, and push orders using technical knowledge to facilitate order flow until shipment.
  • Verify all order lines, prepare daily reports, and manage all shipments, responding to order status inquiries and resolving order issues.
  • Monitor and evaluate order issues, resolving them using available tools and resources.
  • Collaborate with the Purchasing department to resolve escalations for claims that cannot be fulfilled due to current stock availability.
  • Generate various reports to communicate priorities and urgency to other departments, such as backorder priorities and receiving/kitting priorities.
  • Conduct technical research for current claims requiring model migration and execute those migrations to satisfy claims within SLA.
  • Communicate with the Planning Department regarding devices that need prioritization from production lines for all programs.
  • Ensure First-In, First-Out (FIFO) methodology is followed to fulfill older claims.
  • Conduct additional research based on program and customer requirements to move orders from 'Entered' to 'Booked' status, enabling system cascade.
  • Create feedback reports to monitor overall SLA attainment on a daily/monthly basis and disseminate data to stakeholders.
  • Generate reports on claim status, pending shipments, and overall status at a model level for all programs, outlining necessary actions for fulfillment and troubleshooting.
