Our Facilities and Operations Team provides the vital space, equipment, and infrastructure to build a collaborative environment for the design teams to dream, design, and create.

The Facilities Assistant - Project Hire/Internal Assignment will report to the Sr. Manager - Facilities & Operations.

This is a Project Hire position without any guarantee of permanent placement.

What You Will Do:

  • Oversee and maintain the front reception area, ensuring a welcoming and professional atmosphere for visitors and Cast Members

  • Serve as the primary liaison for WDI office Cast Members, facilitating effective communication and support

  • Manage front desk operations, including promptly answering and directing main phone lines and responding courteously to inquiries from Cast Members, guests, interviewees, and vendors 

  • Efficiently sort and distribute incoming mail

  • Coordinate and schedule conference room bookings, preparing rooms as required

  • Assist with sample retention, distribution, and destruction processes 

  • Manage ordering, receiving, and stocking of office supplies and miscellaneous equipment for the WDI/DCP location(s) 

  • Oversee building security protocols for WDI/DCP locations, including Cast Member access and clearance policies, as well as office lock and key management

  • Submit and track maintenance and custodial service requests

  • Assist with space planning updates at WDI/DCP locations as needed

  • Other administrative duties as assigned

Required Qualifications 

  • 2 years or more professional experience in a support or service role in office management

  • Ability to work independently 

  • Passion for customer service 

  • Experience with MS TEAMS, Outlook, Word, Excel, and PowerPoint 

  • Highly organized and efficient 

  • Exceptional verbal and written communication skills 

  • Strong initiative 

  • Valid Driver’s License  

  • Being able to lift 50 lbs

Education 

  • High school diploma or equivalent required

The hiring range for this position in Glendale, CA is $49,200 - $66,000 per year. The base pay actually offered will take into account internal equity and also may vary depending on the candidate’s geographic region, job-related knowledge, skills, and experience among other factors. A bonus and/or long-term incentive units may be provided as part of the compensation package, in addition to the full range of medical, financial, and/or other benefits, dependent on the level and position offered.
