We are seeking a dynamic and hardworking Executive Assistant to join our Sales & Partnerships, Commercial Sales organization within the People & Workplace Experience team. Reporting directly to the Group Vice President, Commercial Sales, you will provide primary support to keep the organization running smoothly, inspire team morale, and foster collaboration in our fast-paced environment. As a pivotal individual contributor, you will manage complex calendars across multiple executives, coordinate high-stakes meetings, and handle travel, expenses, and events with precision—enabling our sales leaders to focus on driving DocuSign’s e-signature and agreement management innovations to market. Our ideal candidate is proactive, extremely organized, personable, and thrives in a rapidly evolving startup-like atmosphere. Based in the PST time zone with flexibility for Eastern hours, you will leverage exceptional communication and multitasking skills to gatekeep priorities, prepare Google Slides presentations, manage NetSuite purchase orders and Concur expenses, and organize team-building events that embody DocuSign’s commitment to belonging and excellence. Key Responsibilities

  • Provide high-level executive support by managing executives’ calendars, scheduling internal/external meetings, and resolving conflicts
  • Perform strategic calendar gatekeeping based on deep understanding of executives’ priorities and objectives
  • Participate in executives’ meetings as needed, take detailed notes, and follow up on action items
  • Prepare professional presentation materials using Google Slides for internal and external meetings
  • Assist in organizing departmental All Hands meetings and events
  • Arrange domestic and international travel itineraries efficiently
  • Prepare expense reports and monthly reporting for department purchasing credit cards using Concur
  • Create and manage purchase orders in NetSuite
  • Coordinate logistics for off-site, virtual meetings, and team-building events to boost morale
  • Maintain updated team aliases, distribution lists, Slack channels, and shared team folders
  • Manage onboarding schedules for new senior leaders
  • Perform other admin-related tasks, projects as assigned, and act as backup to other Executive Assistants

Required Qualifications

  • 4+ years of relevant executive assistant or administrative support experience
  • Experience working at a start-up or rapidly-growing company
  • Proven ability to maintain confidentiality and practice discretion in everyday work
  • Hands-on experience with Concur, NetSuite, and Slack applications
  • Proficiency with Google Suite, Microsoft Office, and Zoom applications
  • Located in the PST time zone with ability to work Eastern time zone hours as needed
  • Experience supporting sales teams or executives in a fast-paced environment
