We are seeking a dynamic, people-driven Executive Assistant (EA) to join our Engineering administrative team. This permanent, individual contributor role supports a Group Vice President (GVP) and up to 2 VPs, reporting to the Lead Executive Assistant. In DocuSign's fast-paced Engineering organization, you will keep operations running smoothly, foster team morale, and align support with business objectives in e-signature innovation and intelligent agreement management. The ideal candidate brings executive presence, impeccable organization, personable demeanor, exceptional judgment, keen attention to detail, and a strategic mindset, thriving in constant communication with business maturity and strict confidentiality. Key responsibilities include serving as the primary point of contact, optimizing executive calendars across time zones with travel and events, proactively resolving conflicts, supporting Town Halls with deck creation and webinars, handling end-to-end travel and expenses, drafting polished communications, and collaborating with peer EAs for backup. As a self-starter in our hybrid environment (minimum 2 days/week in-office), you will anticipate needs, solve problems creatively, and contribute to Engineering's role in DocuSign's mission. This hybrid role requires U.S. work authorization without sponsorship and is not eligible in certain states (AK, HI, ME, MS, ND, SD, VT, WV, WY). Key Responsibilities

  • Act as the primary point of contact for GVP and up to 2 VPs, managing inquiries and communications with executive presence
  • Develop and maintain structured systems to optimize executives' time, including calendar management across time zones, travel, conferences, earnings calls, and events
  • Proactively resolve internal and external scheduling conflicts with exceptional judgment
  • Support team Town Hall meetings: send reminders, create decks, manage webinars, and facilitate Q&A
  • Coordinate comprehensive end-to-end travel arrangements and process expense reports accurately
  • Draft, review, and edit correspondence, reports, and executive-level presentations with high accuracy and attention to detail
  • Serve as a creative problem solver, liaison, and facilitator for support responsibilities aligned with Engineering objectives
  • Collaborate with the Engineering EA team, providing backup support and fostering team morale and cohesion
  • Anticipate leaders' needs in DocuSign's innovative culture, contributing to intelligent agreement management initiatives
  • Maintain strict confidentiality while partnering with diverse stakeholders in e-signature and CLM operations

Required Qualifications

  • Bachelor's degree
  • Minimum 4+ years of relevant professional experience supporting VP-level executives in a fast-paced, demanding corporate environment, preferably with a public technology or SaaS company
  • Experience working with highly confidential information in a high-stakes setting
  • Proven track record managing complex calendars across multiple time zones and executive schedules
  • Demonstrated ability to handle travel arrangements, expense reporting, and event coordination end-to-end
  • Strong proficiency in Google Suite (Docs, Sheets, Slides) and DocuSign-provisioned AI-assisted productivity applications
  • Excellent judgment, prioritization skills, and ability to perform under pressure with tight deadlines
