Job Description Summary

We are currently looking for an Executive Assistant to our GE Healthcare Zone President for Middle East, Northeast & Sub-Saharan Africa, Turkey, Russia and CIS countries, at GE HealthCare. This role is available to work in a hybrid model.

Job Description

Roles and Responsibilities

  • Proactively coordinate Zone President’s schedules and effectively manage Zone President’s calendar for meetings and key priorities.
  • Prepare presentations, reports, spreadsheets, meeting minutes and other information materials, including follow up of actions.
  • Plan, schedule and organize business meetings and travel itineraries, ensure the validity of visas and passports, prepare and reconcile expense accounts; process Zone President’s travel expense in Concur timely.
  • Establish and develop strong relationships with the administrative staff and secretariats of the Group, Functions to achieve good coordination and effective activities planning.
  • Organise large meetings (e.g. departmental meetings, project workouts), co-ordinating on- and/or off-site resources as required  
  • Support the culture journey, recognize success and foster an environment of belonging and collaboration.
  • Support Zone President projects management and priorities and take charge of their follow-up to ensure that commitments are met within the allotted time.

Qualifications

  • You have proven experience in assisting executives leading global international and diverse teams. You master common computer tools like Outlook, Teams, PowerPoint and Excel.
  • Organized, rigorous, you are also an excellent communicator (English oral and written).
  • Proactively drives improvement of day to day activities while demonstrating a behavior of thinking ahead of the curve. Engage and implement small continuous improvement projects.
  • You like working transversally and establish very good relationships, which facilitates your daily exchanges. Proactive, you know how to work methodically, analytically, and make decisions in ambiguous situations.
  • Ability to provide absolute security for highly confidential information and to maintain the confidentiality of extremely sensitive information.
  • You have strong sensing skills which help you to assess organizational engagement and be a coach to your manager.

Desirable Skills

  • You have extensive and proven experience as executive assistant in multinational companies and matrix organizations.
  • Strong organizational skills and a keen sense of detail and precision.
  • Ability to set priorities and anticipate needs, make decisions in ambiguous situations and to balance workload with tight deadlines and change priorities in a rapidly changing environment.
  • Experience in project management.
  • Fluent in other languages knowledge.
