The opportunity:

The Assistant Administration and Facility Manager at Hitachi, Ltd. will support the efficient operation of the facility and administrative functions, ensuring a productive and safe work environment. This role involves a blend of administrative support, facility maintenance coordination, and team collaboration to uphold Hitachi's operational standards.

How you’ll make an impact:

  • You will assist in the day-to-day management of office facilities, including space planning, maintenance requests, and vendor coordination (e.g., cleaning services, security, utilities).

  • You will coordinate and oversee repairs, preventative maintenance, and minor renovations for office equipment and infrastructure, manage office supplies inventory, procurement, and distribution, ensuring cost-effectiveness and timely availability.

  • You will maintain Fixed Asset Registry, assist in developing and implementing facility policies and procedures to ensure compliance with safety regulations and company standards.

  • You will coordinate with IT support for office equipment setup and troubleshooting, facilitate new employee onboarding logistics related to office space, equipment, and access.

  • You will support the planning and execution of internal company events and meetings, acting as a point of contact for employees regarding facility-related issues and inquiries.

  • You will prepare reports on facility usage, maintenance activities, and administrative expenditures, ensure swift crisis response, employee safety, proactive risk mitigation, and HSE trainings to foster trust and resilience within the organization, maintain a productive, effective and comfortable work environment for staff.

  • You will be responsible to ensure compliance with applicable external and internal regulations, procedures, and guidelines.

Your background:

  • Bachelor’s degree in business administration, Facilities Management, or a related field.

  • More than 2 years of experience in an administrative support or facilities management role, preferably within a corporate environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong organizational and time management skills with the ability to prioritize multiple tasks.

  • Experience with vendor management and negotiation is a plus. Demonstrated problem-solving abilities and a proactive approach to issue resolution.

  • Ability to work independently and collaboratively within a team setting. Knowledge of health and safety regulations relevant to office environments is desirable.

  • Excellent written and verbal communication skills.
