Key Responsibilities

  • Manage executive calendars, including scheduling meetings, travel arrangements, and conferences for multiple senior leaders, prioritizing conflicting demands with discretion and efficiency.
  • Prepare and edit high-quality correspondence, reports, presentations, and confidential documents using Microsoft Office Suite and collaboration tools.
  • Coordinate departmental events, board meetings, and off-site retreats, handling logistics, vendor relations, and budgets up to $50,000.
  • Serve as the primary point of contact for internal and external stakeholders, screening calls, and facilitating communication to resolve issues promptly.
  • Maintain accurate records, databases, and filing systems, ensuring compliance with Honeywell's data security and retention policies.
  • Assist with special projects, such as process improvements, onboarding new hires, and expense reporting through SAP Concur.
  • Provide backup support to other administrative team members and contribute to team initiatives for operational excellence.

  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) (experience)
  • Experience with enterprise systems such as SAP, Concur, or similar ERP tools (experience)
  • Strong organizational skills with the ability to manage multiple priorities (experience)

Preferred Qualifications

  • Master's degree in Business Administration or related field (experience)
  • Certified Administrative Professional (CAP) or similar certification (experience)
  • Experience in a manufacturing, aerospace, or technology industry (experience)

Responsibilities

  • Proactively manage and optimize executive calendars, resolving scheduling conflicts and coordinating complex travel itineraries
  • Draft, proofread, and format executive communications, presentations, and reports for board-level review
  • Organize and execute logistics for meetings, events, and conferences, including budgeting and vendor coordination
  • Handle confidential information with utmost discretion, maintaining compliance with company policies and regulations
  • Track and reconcile expenses using Concur and prepare monthly reports for leadership review
  • Support special projects by researching information, compiling data, and preparing actionable insights
  • Liaise with cross-functional teams to facilitate seamless collaboration and information flow
