HP Inc. is seeking a highly organized and proactive Office Administration Specialist to support the daily administration and operations of our newly established office in New Cairo, Cairo, Egypt. In this hybrid Flex role, you will combine office operations, executive support, and administrative coordination to ensure seamless functioning, compliance with local Egyptian standards, and alignment with HP's global processes. Your responsibilities will include executive support such as coordinating calendars, travel, and producing professional reports; managing confidential documentation workflows, wet-signatures, and social insurance in partnership with HR; and overseeing office operations like supply monitoring, facility maintenance, and first-day onboarding logistics. You will serve as the primary point of contact for all facility matters, coordinating with IT, HR, and vendors to maintain uninterrupted operations while ensuring adherence to health, safety, and labor law standards. Key Responsibilities

  • Coordinate calendars, meeting logistics, and travel arrangements for the local leadership team
  • Maintain organized digital and physical filing systems, ensuring confidentiality and policy compliance
  • Manage documentation workflows including contracts, onboarding forms, and HR-related paperwork
  • Handle wet-signature collection and coordinate with employees and external parties
  • Support social insurance documentation in partnership with HR and vendors
  • Produce professional reports, presentations, and correspondence for leadership
  • Serve as primary point of contact for office and facility-related matters
  • Monitor office supplies, facility maintenance, and ensure health & safety standards
  • Oversee first-day onboarding logistics including welcome kits, badges, workspace readiness, and tours
  • Coordinate with IT, HR, and facilities vendors for seamless operations

Required Qualifications

  • Bachelor’s degree in Business Administration, HR, or a related field
  • 3+ years of experience in office administration, office management, or executive support
  • Fluency in English and Arabic
  • Strong organizational, prioritization, and multitasking abilities
  • Solid understanding of workplace administrative procedures and local labor laws in Egypt
  • Proficiency in Microsoft Office Suite
  • Experience managing confidential documentation and compliance
  • Ability to work in a hybrid Flex workstyle
