What this job involves:

This position serves as the coordinator for all soft services aspects of a facility, managing day-to-day operations to maintain a world-class working environment that creates a wonderful workplace experience for employees. You will oversee general employee requests, reception and mailroom services while ensuring facilities are well-maintained and safe. This role contributes to JLL's business objectives by delivering exceptional service quality that meets or exceeds client Key Performance Indicators while maintaining strong vendor relationships and operational excellence.

What your day-to-day will look like:

  • Manage day-to-day facilities operations including employee requests, reception, and mailroom services
  • Conduct regular facilities inspections and audits to confirm safety standards and identify repair needs
  • Perform daily walkthroughs to ensure clean and organized office environments
  • Respond to all work orders in timely manner ensuring KPI compliance and excellent customer service
  • Coordinate with Facilities Manager, fellow coordinators, housekeeping personnel, landlord personnel and vendors • Serve as vendor point of contact for soft services daily operations
  • Update and maintain accurate records and official documentation for assigned sites.

Required Qualifications:

  • Experience in facilities management and coordination of soft services operations
  • Strong coordination skills with ability to work with multiple stakeholders including vendors and landlord personnel
  • Excellent customer service skills with focus on timely response to work orders
  • Knowledge of building safety standards, inspection procedures, and maintenance requirements
  • Ability to identify operational improvement opportunities and make recommendations
  • Strong communication skills for vendor management and client relationship building
  • Capability to handle emergency situations and participate in critical out-of-hours response

Preferred Qualifications:

  • Experience with procurement of vendors and services for facilities operations
  • Knowledge of Key Performance Indicators and contract compliance requirements
  • Background in event coordination and meeting/conference facility support
  • Familiarity with equipment maintenance and building access pass management
  • Experience conducting site inspections and assessments for workplace safety
  • Understanding of client contract requirements and service delivery excellence standards
