RECEPTIONIST/FRONT OFFICE

Primary Responsibilities:

We are seeking a dedicated professional to deliver exceptional front-of-house and reception services directly to our clients. This role requires strong interpersonal skills and a commitment to providing outstanding customer service in a dynamic office environment.

Key Duties:

Reception and Customer Service: • Deliver comprehensive reception services with professionalism, dedication, and courtesy at all times • Manage and respond promptly to client and customer requirements, ensuring exceptional support standards • Proactively anticipate, welcome, and announce visitor arrivals with a warm, professional approach • Oversee visitor access card management and registration processes • Handle all telephone inquiries (both internal and external) with efficiency and professionalism

Communication and Administrative Support: • Distribute calls throughout the building, take accurate messages when required, and promptly email relevant team members • Process courier deliveries, postal services, and collections systematically • Maintain reception areas in pristine condition, creating a welcoming environment • Monitor and respond to emails in a timely manner • Coordinate taxi bookings in accordance with client policies and procedures

Operational Excellence: • Ensure all activities comply with Health and Safety policies and procedures • Manage client requests through established ticketing systems • Provide event support as required • Handle package and correspondence distribution efficiently • Oversee receipt, processing, registration, and storage of office supplies • Manage office supplies inventory and warehouse operations • Coordinate meeting room bookings and scheduling

Additional Responsibilities: • In exceptional circumstances, provide support with ad hoc duties as required by the client

Working Hours: Part-time position - 25 hours per week (alternating shifts: 9:00-14:00 / 13:00-18:00 throughout the week)

Reception e Servizio Clienti: • Fornire servizi di reception completi con professionalità, dedizione e cortesia in ogni momento • Gestire e rispondere prontamente alle richieste di clienti e utenti, garantendo standard di supporto eccezionali • Anticipare proattivamente, accogliere e annunciare l'arrivo dei visitatori con approccio caloroso e professionale • Supervisionare la gestione delle tessere di accesso visitatori e i processi di registrazione • Gestire tutte le richieste telefoniche (sia interne che esterne) con efficienza e professionalità

Comunicazione e Supporto Amministrativo: • Distribuire le chiamate nell'edificio, prendere messaggi accurati quando necessario e inviare tempestivamente email ai membri del team pertinenti • Elaborare sistematicamente le consegne di corrieri, servizi postali e ritiri • Mantenere le aree reception in condizioni impeccabili, creando un ambiente accogliente • Monitorare e rispondere alle email in modo tempestivo • Coordinare le prenotazioni taxi in conformità con le politiche e procedure del cliente

Eccellenza Operativa: • Garantire che tutte le attività rispettino le politiche e procedure di Salute e Sicurezza • Gestire le richieste dei clienti attraverso i sistemi di ticketing stabiliti • Fornire supporto per eventi quando richiesto • Gestire efficientemente la distribuzione di pacchi e corrispondenza • Supervisionare ricevimento, elaborazione, registrazione e stoccaggio delle forniture d'ufficio • Gestire l'inventario delle forniture d'ufficio e le operazioni di magazzino • Coordinare prenotazioni e programmazione delle sale riunioni

Responsabilità Aggiuntive: • In circostanze eccezionali, fornire supporto con compiti ad hoc come richiesto dal cliente
