What this job involves:

Drive seamless workspace transitions as a Move Coordinator with JLL, where you'll manage comprehensive space request coordination by creating Move Central Reports for Occupancy Planning teams while processing approved requests within CAFM systems to ensure operational excellence. You'll oversee critical facility operations including signage management for new hires, transfers, and redeployments while maintaining locker systems and ensuring move-ready office environments across campus locations. This role positions you at the center of workplace mobility operations, where your expertise in minor moves, group relocations, and vendor coordination will directly impact employee experience and operational efficiency. Your coordination skills will contribute to JLL's service excellence while you foster relationships between business units, manage monthly move execution, and maintain accurate data systems that support strategic occupancy planning and seamless workplace transitions.

What your day-to-day will look like:

  • Space Request Management: Manage incoming space requests by creating Move Central Reports for Occupancy Planning teams, process all approved requests in CAFM system, and ensure offices are move-ready for incoming staff while packing offices as needed for transitions
  • Monthly Move Coordination: Execute monthly minor moves and group moves by receiving and processing client requests, incorporating best practices, coordinating with staff and vendors, and walking spaces pre and post moves while sending move manifests and communications
  • Signage & Identity Management: Create and install signage for new hires, transfers, and redeployments, update offboarded staff signage across campus, and maintain accurate counts of missing signs or hardware requiring replacement
  • Locker System Management: Manage overall locker availability to reduce wait lists, handle locker assignments and recovery, perform locker audits using CAFM system, and maintain locker maintenance and battery management protocols
  • Vendor & Relationship Coordination: Foster critical relationships between individuals and vendors while ensuring coordination among business units, facility management, and service providers to deliver quality service across all stakeholder groups
  • Administrative Operations: Conduct daily reviews of Relocation Services emails and locker/signage requests, manage delivery of boxes and labels to moving staff, and compare vendor invoices to purchase orders ensuring budget adherence
  • Data Management & Support: Perform data input into CAFM system to maintain accurate occupancy information, provide support to Occupancy Planners and MAC Leads, and ensure compliance with JLL and client policies and procedures

Required Qualifications:

  • One to three years related experience with background in project management, construction management, architecture, or project strategy planning being highly desirable
  • Strong skills in Microsoft Excel including pivot tables and cell calculations with ability to utilize Microsoft Office Suite and understand architectural drawings and floorplans effectively
  • Excellent written and verbal communication skills with strong interpersonal abilities to understand complex ideas, communicate effectively to others, and interact with executive-level external and internal clients
  • Exceptional attention to detail and accuracy with organizational capabilities to identify and manage priorities while maintaining flexibility with work hours and travel as needed
  • Ability to multi-task and work both in team environments and independently with familiarity in architectural drawings, furniture, and space planning concepts Strategic Thinking: Capability to think strategically, simplify complex situations, see big picture perspectives, and drive results while thriving on change with proactive and innovative solution development
  • Understanding of move management processes, vendor coordination, and ability to ensure adherence to move schedules and budgets while maintaining policy compliance

Preferred Qualifications:

  • Bachelor's degree in Architecture, Construction Management, Facility Management, or related field demonstrating foundational knowledge in space planning and project coordination Advanced experience with Computer-Aided Facility Management systems including data management, reporting capabilities, and system administration for occupancy tracking
  • Background in vendor relationship management, contract administration, or procurement processes with understanding of service level agreements and performance management
  • Experience managing multiple concurrent projects, coordinating cross-functional teams, or supporting large-scale workplace transformation initiatives
  • Background in client-facing roles, customer service environments, or account management with proven track record of building and maintaining stakeholder relationships
  • Experience with process optimization, workflow enhancement, or implementation of best practices within facility management or space planning environments

Estimated compensation for this position:

55,000.00 – 60,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
