Receptionist

  • Greet clients and visitors with a positive, helpful attitude.
  • Assisting clients in finding their way around the office.
  • Announcing clients as necessary.
  • Support staff to reserve meeting and set up the meeting room as client require.
  • Operates phone call with answering phones in a professional manner, and routing calls as necessary of both the company’s external telephone line and the internal telephone line.
  • Helping maintain workplace security by issuing, checking, and collecting badges as necessary and maintaining visitor logs.
  • Coordinate other service requests and resource needs;
  • Conduct analysis of service requests for improvement;
  • Conduct customer satisfaction survey to show proactive follow-up and satisfactory closure;
  • 100% of requests to be processed immediately if received within business operating hours.
  • Tracking all metrics and complete periodic reports to manage of Action Line performance and indicators at appropriate levels;
  • Responsible for monthly team telephone list updating;
  • Active involvement in the monitoring and achieving the required Key Performance Indicators
  • Performing ad-hoc administrative duties.
  • Other Helpdesk support as assigned by the FM and soft service leader.

Customer Service / Client Relationships:

  • Provide excellent customer service.
  • Ensure feedback from client sessions is recorded and actioned to the satisfaction of the end user.
  • Pro-actively manage account expectations ensuring that the service levels are maintained

Qualification

  • 1-3 years similar working experience as a receptionist or in a related field.
  • Excellent interpersonal skills
  • Excellent written and verbal communication skills.
  • Competency in Microsoft applications including Word, Excel, and Outlook.
  • Comfortable multi-tasking and prioritizing tasks without guidance
  • Able to contribute positively as part of a team, helping out with various tasks as required.
  • Good command of spoken and written English languages.
