What This Job Involves

Join JLL as a Site Coordinator for our oil and gas client in Fort McMurray, where you will act as the primary steward of their facility. In this dynamic, hands-on role, you will own the day-to-day operational excellence of the site - from orchestrating move management and vendor coordination to driving long-term strategy through data-driven space planning and utilization reporting. Your goal is to ensure the workplace runs efficiently today while helping to manage the data that optimizes it for tomorrow.

This role is a temporary position for 3 months and based on business needs may be extended for a long period or become permanent role.

  • On-Site Presence: This is a full-time, 5 days/week on-site position.
  • Condition of Employment: Our client requires all site personnel to undergo drug testing (including pre-employment, reasonable cause, random, and post-incident) to gain and maintain site access. Please only apply if you agree to this mandatory condition.

What Your Day-to-Day Will Look Like

Space Planning

  • Manage and maintain accurate seating assignments and occupancy data using CAFM/IWMS systems.
  • Analyze space supply and demand against business projections to assist with forecasting future needs.
  • Gather space requirements and adjacency needs from department leaders to support ongoing planning efforts.
  • Track and report on space utilization data and trends, conducting periodic audits to ensure data integrity.

Move Management

  • Manage the end-to-end process for all employee and furniture relocations, from developing project schedules and budgets to on-site execution.
  • Provide hands-on, on-site supervision during move execution, directing vendor crews and resolving logistical issues in real-time to ensure success.
  • Conduct pre-move walkthroughs and post-move punch list resolution to guarantee quality standards and client satisfaction.
  • Create and distribute all move communications, including clear instructions, labeling systems, and status reports to stakeholders.
  • Coordinate all move-related vendors, including movers, IT technicians, and furniture installers.

Site & Operations Management

  • Act as a client liaison for facility-related matters, responding promptly to requests and ensuring successful building operations.
  • Proactively monitor the facility to ensure it remains safe, secure, well-maintained, and operationally ready.
  • Manage a portfolio of small facility projects, such as furniture reconfigurations and space enhancements, from work order intake to completion.

What You Bring to the Table

  • Experience: 4+ years of hands-on experience in move management, occupancy planning, facility management, project management, or a related corporate real estate function.
  • Technical Skills: Proficiency in MS Office Suite (especially Excel) and experience with CAD/CAFM systems. You must be comfortable reading and interpreting architectural floor plans.
  • Practical Knowledge: A strong working knowledge of facility operations, move coordination logistics, and space management principles.
  • Analytical Mindset: Strong analytical skills to track data, manage forecasts, and report on space utilization. You are attentive to detail and accuracy, especially with numbers and logistics.
  • Communication: Excellent verbal and written communication skills, with a proven talent for fostering critical relationships with clients, vendors, and internal teams.
  • Independence: The ability to work independently, manage your time effectively, and drive projects to completion in a dynamic environment.
