Pay: $33.65 - $36.05 / hr

Schedule: Monday - Friday 8am-5pm (OT required as needed) 

Location: Seattle & Bellevue, WA | Salesforce offices (candidate will be on-site in either office, 5 days/week, dependent on client need)

What this job involves:  

The Site Operations/MAC Coordinator provides comprehensive administrative and operational support while work orders (both Facilities and MAC) and event coordination activities. This role combines day-to-day facilities operations with project management responsibilities, serving as a key liaison between clients, vendors, and internal stakeholders to ensure smooth facility operations and successful project delivery.

What your day-to-day looks like:

  • Operational Support: Schedule vendor activities, manage work orders, maintain service records, support safety initiatives, and assist with budget development
  • Event Coordination: Develop event scope and schedules, handle administrative tasks (minutes, agendas, reports), and manage project documentation on SharePoint sites
  • Stakeholder Management: Process client requests, participate in planning meetings, initiate schedule reviews, communicate issues to leadership, and respond to routine inquiries
  • Vendor Management: Coordinate vendor activities and inspections, track interactions, and facilitate meetings with stakeholders and vendors
  • Documentation and Reporting: Prepare operational and event status reports, track KPIs, support close-out activities, and maintain site procedures and manuals
  • Communication: Serve as liaison between clients, facility managers, vendors, and JLL leadership for both operational and event-related matters
  • Administrative Support: Handle meeting coordination, document review and editing, action item tracking, and maintenance of project records across multiple platforms

Required Qualifications:

  • 2 years of experience in facilities coordination, operational support, relocation project management support, or similar role in a Corporate Real Estate environment
  • Strong organizational skills and attention to detail with ability to multi-task
  • Proficiency in Microsoft Office Suite, particularly Excel, Outlook, Google Workspace Apps, particularly Sheets, Mail, and other core applications
  • Excellent written and verbal communication skills
  • Ability to prioritize tasks, manage time effectively, and work both independently and as part of a team
  • Excellent understanding of customer service principles
  • Experience with CAD/CAFM technology with move management modules 
  • Experience with CMMS technology to manage, schedule, and coordinate onsite work
  • Ability to work onsite full time with flexibility for travel between client locations
  • Detail-oriented with ability to prioritize and manage differing business needs
  • Self-motivated with ability to identify skill development opportunities and seek training
  • Flexibility with work hours and travel as needed
  • Talent for self-management and proactive problem-solving

Preferred Qualifications

  • Bachelor's degree in related field(s) or related discipline(s)
  • Experience working with/on Event Coordination
  • Knowledge of construction or commercial real estate industry
  • Familiarity with architectural drawings and furniture/space planning concepts
  • Experience in facilities or property management environment
  • Understanding of health and safety practices in workplace settings
  • Strong interpersonal skills with ability to interact with executive level internal and external clients

Estimated compensation for this position:

70,000.00 – 75,000.00 USD per year

This range is an estimate and actual compensation may differ. Final compensation packages are determined by various considerations including but not limited to candidate qualifications, location, market conditions, and internal considerations.
