Key Responsibilities

  • Manage the executive's calendar, scheduling meetings, appointments, and travel itineraries with precision and foresight
  • Prepare and edit correspondence, reports, and presentations using Microsoft Office tools
  • Coordinate logistics for internal and external meetings, including virtual conferences via Zoom or Teams
  • Handle expense reimbursements and travel bookings in compliance with JP Morgan Chase policies
  • Serve as the primary point of contact for internal and external stakeholders, ensuring seamless communication
  • Maintain confidential files and records, adhering to data privacy regulations in the financial sector
  • Assist with special projects, such as event planning for client engagements or team offsites
  • Monitor and order office supplies, manage vendor relationships, and ensure operational efficiency
  • Provide administrative support during high-volume periods, including board meetings or regulatory audits
  • Track action items from meetings and follow up to ensure timely completion

Required Qualifications

  • Bachelor's degree or equivalent experience in business administration or a related field
  • Minimum of 5 years of administrative support experience in a fast-paced corporate environment, preferably in financial services
  • Proven track record of managing executive-level calendars and travel arrangements
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Excellent organizational skills with the ability to handle confidential information discreetly
  • Availability to work flexible hours, including occasional evenings and weekends as needed
  • U.S. work authorization without sponsorship requirements
