Key Responsibilities

  • Manage and maintain the executive's calendar, scheduling meetings, appointments, and travel arrangements while resolving conflicts proactively
  • Prepare and edit correspondence, reports, presentations, and other documents with a high level of accuracy and attention to detail
  • Coordinate internal and external communications, including phone calls, emails, and video conferences, ensuring timely responses
  • Handle expense reimbursements, travel bookings, and logistics for domestic and international trips
  • Organize and prepare materials for board meetings, client presentations, and team offsites
  • Act as a liaison between the executive and key stakeholders, including senior leadership, clients, and external partners
  • Maintain confidential files, records, and databases, ensuring compliance with JP Morgan Chase data security policies
  • Assist with special projects, such as event planning or process improvements, to support business objectives
  • Monitor and order office supplies, manage vendor relationships, and ensure a smooth office environment
  • Provide administrative support to the executive team as needed, including onboarding new hires

Required Qualifications

  • Bachelor's degree or equivalent experience in business administration or a related field
  • Minimum of 5 years of administrative support experience in a fast-paced corporate environment, preferably in financial services
  • Proven track record of managing executive-level calendars and travel arrangements
  • Strong proficiency in Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint
  • Excellent organizational skills with the ability to handle multiple priorities and deadlines
  • Discretion and ability to handle confidential information with integrity
  • Availability to work flexible hours, including occasional evenings and weekends as needed

  • Advanced skills in expense management software such as Concur
