  • Weekly Payment Registers: Compile accurate weekly payment registers, perform thorough accuracy checks, and secure Controller approval before submission to Corporate for check processing.
  • Check Distribution & Compliance: Assist in distributing checks from Corporate, meticulously matching them with supporting documentation, and releasing payments to vendors/subcontractors only upon receipt of signed lien waivers to protect company interests.
  • Expedited Payments: Handle urgent division manual check requests for permits, special payments, and time-sensitive needs, ensuring swift resolution without compromising controls.
  • Monthly Accruals & Reconciliations: Prepare and process invoice accruals at month-end, reconcile accounts payable ledgers, and ensure financial statements reflect true obligations.
  • Audit-Ready Documentation: Conduct detailed reviews of document history to detect and prevent double payments, coding inconsistencies, and duplicate commitments.
  • Vendor Management: Create and maintain vendor setups in the system, ensuring all records are current and compliant.
  • 1099 Compliance: Track 1099 history for required vendors and manage year-end filings to meet IRS regulations.
  • Problem Resolution: Collaborate with managers and vendors to resolve discrepancies, disputed invoices, and payment issues efficiently.
