Job Description

Lineage Logistics, a global leader in temperature-controlled logistics solutions, is seeking a dedicated and detail-oriented Operations Support professional to join our team in Hamilton, Ontario. This full-time, permanent position plays a crucial role in ensuring smooth and efficient operations within our facility, serving as the first point of contact for drivers and coordinating with various teams to provide exceptional customer service.

Operations Support Role Overview

As an Operations Support (OS) team member, you will be at the heart of our shipping and receiving operations. Your primary responsibility is to provide exceptional customer service to drivers arriving at our facility, ensuring a seamless experience from arrival to departure. This involves verifying paperwork, coordinating loading bay assignments, and liaising with customer service and warehouse teams to address any inquiries or issues.

A Day in the Life of an Operations Support Team Member

Your day begins by preparing the shipping/receiving office for the day's activities. You will review the appointment schedule and anticipate any potential challenges. As drivers arrive, you will greet them warmly and guide them through the sign-in process. You will carefully review their paperwork, ensuring that all necessary information is complete and accurate. This includes verifying temperature requirements, collecting regulatory documentation, and confirming estimated time of arrival (ETA) for any late appointments.

You will then coordinate with the warehouse team to assign drivers to the appropriate loading bay, optimizing efficiency and minimizing delays. Throughout the day, you will liaise with the customer service representative to address any customer requests or inquiries, such as shipment delays or same-day shipping requests. You will also audit bills for accuracy and resolve any discrepancies.

In addition to these routine tasks, you may be involved in supporting regulatory inspections, coordinating with the CFIA inspector as required. You may also work with the Inventory Control team to coordinate customer recall activities or other special requests.

Responsibilities

  • Greet customers (drivers) upon arrival at the facility, ensuring they receive an exceptional customer service experience.
  • Collect and review paperwork for completion and accuracy, check temperature requirements, and collect/prepare regulatory documentation.
  • Confirm ETAs for late appointments and update the system accordingly.
  • Work with the Warehousing Solutions team to meet customer requirements in a timely manner.
  • Prepare appropriate paperwork, communicate temperature requirements, and update the software system (TMW) regarding the arrival of drivers.
  • Verify the accuracy of all paperwork, create labels, and ensure completion.
  • Coordinate the assignment of customers to the appropriate loading bay to create efficiency for the warehouse team.
  • Prevent outbound/inbound delays by effectively managing the flow of customers and shipments.
  • Liaise with the Customer Service Representative regarding customer requests or inquiries (i.e., shipment delays, same-day shipments).
  • Coordinate special, same-day shipping requests.
  • Audit bills for accuracy and resolve any discrepancies.
  • Provide support/assistance during regulatory inspections, coordinating with the CFIA inspector as required.
