As a Senior Research Operations Specialist at Okta's Auth0 team in Toronto, you'll optimize research infrastructure, manage participant recruitment, and ensure UX research insights are accessible and actionable across Product Design and UXR teams. This role scales high-impact research operations, reduces duplicative efforts, and drives insight activation to build secure, user-centered identity products. Key Responsibilities: • Maintain and optimize research tools like Dovetail, Confluence, Jira, Heap, and GreatQuestions, including folder structures, tagging, and insight-sharing channels for easy reuse. • Manage participant operations by growing the research panel, handling recruitment logistics, incentive tracking, data hygiene, and scheduling with researchers and stakeholders. • Support research intake triage, prioritization, and tracking in Jira, identifying bottlenecks and documenting processes for scalable, repeatable UX research execution. • Collaborate with Research, Design, Product, Marketing, and insights teams to reduce duplicative studies, connect external insights to the central repository, and act as tool access point of contact. • Coordinate tooling access with Legal, IT, and Security, while supporting enablement programs and self-service research documentation in Dovetail and Heap. • Track operational metrics like repository usage, panel participation, and research velocity; optimize rituals for insight activation, readouts, synthesis sharing, and stakeholder reporting. What We're Looking For: • 3-5 years of experience in research operations, UX research ops, or participant management in tech or SaaS environments. • Proven expertise optimizing research tools (e.g., Dovetail, Jira, Heap) and establishing tagging, naming, and documentation standards for insight accessibility. • Strong skills in participant recruitment, panel management, incentive tracking, and scheduling for diverse studies including developers and end-users. • Experience collaborating cross-functionally with Design, Product, PMs, Marketing, Legal, IT, and Security to streamline workflows and reduce research duplication. • Excellent organizational and process improvement abilities, with proficiency in metrics tracking, Jira triage, and scaling research operations at growing teams.
