Position Overview

We are seeking a highly accountable and tech-savvy Senior Administrative Assistant to provide high-level support to our Group Vice President (GVP) and his four Industry Vice Presidents. The ideal candidate will be organized, resourceful, creative, and able to thrive in a fast-paced, high-demand environment. This role requires a strong sense of urgency, accountability, and the ability to anticipate needs before they arise, ensuring seamless communication and support across multiple time zones and business units. You will play a critical role in enabling the GVP and his directs to operate efficiently and focus on strategic priorities.

Key Responsibilities

  • Manage complex calendars for the GVP and four Industry Vice Presidents, scheduling meetings across multiple time zones while resolving conflicts proactively.
  • Coordinate travel arrangements, including international trips, ensuring all logistics, itineraries, and expense reconciliations are handled flawlessly.
  • Prepare and edit executive correspondence, presentations, and reports using tools like Microsoft Office, Google Workspace, and Oracle applications.
  • Anticipate executive needs by tracking action items, deadlines, and follow-ups from meetings and communications.
  • Organize and facilitate team meetings, offsites, and events, including virtual sessions using Zoom, Microsoft Teams, and Oracle Meeting platforms.
  • Serve as the primary point of contact for internal and external stakeholders, screening calls, emails, and visitors with professionalism and discretion.
  • Maintain confidential files, records, and databases, ensuring compliance with Oracle's data security and privacy standards.
  • Track department budgets, process invoices, and manage procurement for office supplies and vendor services.
  • Leverage technology to automate routine tasks, such as scheduling bots, expense reporting tools, and workflow integrations.
  • Provide ad-hoc support to Industry Vice Presidents, including special projects and cross-functional coordination.

Required Qualifications

  • 5+ years of administrative or executive assistant experience in a fast-paced corporate environment, preferably in technology or enterprise software.
  • Proven ability to manage multiple executives' schedules simultaneously across global time zones.
  • Advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint), Google Workspace, and virtual meeting platforms.
  • Exceptional organizational skills with meticulous attention to detail and ability to prioritize in high-pressure situations.
  • Strong written and verbal communication skills, with experience drafting executive-level communications.
  • Demonstrated sense of urgency, accountability, and proactivity in anticipating needs.
  • Ability to handle confidential information with the highest level of discretion and integrity.
  • Bachelor's degree or equivalent professional experience.

Preferred Qualifications

  • Experience supporting C-level or VP-level executives in a tech company like Oracle.
  • Familiarity with Oracle's internal systems, such as Oracle HCM, Expense Management, or Concur.
  • Proficiency in project management tools like Asana, Trello, or Microsoft Planner.
  • Working knowledge of CRM systems such as Salesforce.
  • Event planning experience for executive offsites or client engagements.
