Key Responsibilities

In Office Support & Front Desk Management, you'll be the friendly first point of contact, answering and routing inbound calls, greeting visitors, clients, and candidates with professionalism. Track hours for hourly staff and superintendents, enforce timely timesheet submissions from foremen, verify Daily Reports in Procore, maintain daily data entry, generate weekly payroll estimates, and process subcontractor reports for invoicing—ensuring payroll accuracy every step of the way.

In Hiring & Onboarding Support, assist across the recruitment lifecycle: communicate and translate processes for candidates, schedule welding tests and interviews, monitor new hire paperwork, coordinate PPE with Procurement, and lead training sessions on BusyBusy and Safety Orientation. This multifaceted role demands adaptability and a proactive mindset.

Required Qualifications

  • Maintain office supply inventory for the Maryland office

  • Assist subcontractors with inquiries as needed
  • Ensure all paperwork is properly scanned, organized, and filed
  • Coordinate with the Logistics Manager to ensure checks and documents are sent out promptly
  • Provide general support to the Office Manager as assigned
  • Track all hours worked for hourly staff and salaried superintendents using BusyBusy
  • Ensure foremen submit timesheets on time
