Key Responsibilities

Your day will start with reviewing and verifying daily expenses, assigning them to the correct customers or administrative accounts, and applying precise general ledger codes. You'll scan and meticulously organize all expense documentation into shared folders, ensuring remote accounting teams have instant access. Simultaneously, monitor daily labor reports to confirm every employee's hours are accurately logged and tied to active projects. Proactively collaborate with team members to resolve any missing hours before the end of the day or first thing the next morning, preventing delays in payroll and billing.

Weekly Oversight and Invoicing Support

Each week, conduct thorough checks to verify that all expenses and labor reports are complete and up-to-date. Identify and address any gaps, following up assertively with team members as needed. Play a pivotal role in monthly invoicing by extracting project descriptions and hours from management software and seamlessly transferring them into QuickBooks for management review. Beyond these core duties, support accounts payable (AP) and accounts receivable (AR) processes, including transaction tracking and reconciliations, and perform essential bank reconciliations to uphold the integrity of financial records.
