Key Responsibilities

Process Improvement & Workflow Development

  • Develop and refine internal procedures, guides, and documentation that streamline day-to-day operations across departments.
  • Analyze existing workflows to identify inefficiencies and redesign them for greater speed, accuracy, and scalability.
  • Maintain organized, user-friendly documentation that promotes alignment and reduces errors firm-wide.

Operational Execution & Accountability

  • Prepare comprehensive meeting agendas, meticulously track action items, and drive follow-up to completion.
  • Collaborate with leadership to keep strategic priorities on track, meet critical deadlines, and ensure clear ownership of responsibilities.
  • Translate high-level goals into actionable plans with defined timelines, milestones, and measurable outcomes.

Systems, Tools & Technology Support

  • Oversee and optimize core systems including HRIS, payroll tools, project management platforms, and documentation hubs.
  • Leverage automation and AI technologies to minimize manual work and simplify repetitive tasks.
  • Create simple no-code solutions and automations using platforms like Zapier, Lindy, and Replit to eliminate bottlenecks.
  • Manage technology vendors and projects, defining clear requirements and ensuring successful, on-time delivery.

People Operations & HR Coordination

  • Enhance the full employee lifecycle, from seamless onboarding and role clarity to training logistics and efficient offboarding.
  • Maintain consistent HR documentation and support managers in standardizing performance conversations and feedback processes.
  • Monitor compliance requirements, conduct audits, and implement policy updates to ensure full adherence.

Compliance, Vendors & Reporting

  • Track insurance, audits, renewals, and regulatory obligations to mitigate risks and maintain compliance.
  • Support budgeting, vendor relationships, and deliver precise operational financial reporting.
  • Provide leadership with clean, actionable operational metrics, dashboards, and regular updates for informed decision-making.

Required Qualifications

To succeed in this role, candidates should bring 5+ years of experience in operations, HR operations, or people operations, with a proven ability to optimize processes in dynamic environments.
