Key Responsibilities

Your day-to-day will include:

• Processing 100+ vendor invoices daily, executing 2-way and 3-way PO matching, and handling non-PO invoices with proper GL coding and approvals.
• Executing weekly and monthly payment runs via ACH electronic transfers, domestic/international wires, and check printing.
• Performing vendor statement reconciliations, investigating variances, and resolving issues within 48 hours to maintain strong supplier relationships.
• Partnering with Procurement to streamline purchase-to-pay workflows and reduce cycle times.
• Maintaining accurate vendor master files, collecting W-9 forms, and ensuring IRS tax ID compliance.
• Preparing, reviewing, and filing annual 1099-MISC forms by deadlines.
• Supporting month-end close with AP accruals, balance sheet reconciliations, and journal entries in ERP systems.
• Acting as Tier 2 escalation resource for complex AP disputes and vendor inquiries.
• Leading process improvement projects, including AP automation tools like OCR invoice scanning and robotic process automation (RPA).
• Auditing and approving employee expense reports in conformance with corporate travel policies using Concur or similar platforms.

Required Qualifications

To succeed, you need:

• 5+ years of progressive Accounts Payable experience, with 2+ years at senior level handling high-volume processing (500+ invoices/week).
• Expertise in ERP systems such as SAP, Oracle, NetSuite, or Great Plains; advanced Microsoft Excel (VLOOKUP, pivot tables, macros).
• Deep knowledge of GAAP, SOX compliance, and tax regulations including 1099 reporting.
• Proven ability to identify and implement AP process efficiencies, preferably with automation experience.
• Exceptional organizational skills, attention to detail, and ability to prioritize in fast-paced environments.
• Strong communication skills for vendor negotiations and cross-departmental collaboration.
• Bachelor's degree in Accounting, Finance, Business Administration, or equivalent experience.
