Role Overview

The Senior Manager Facilities & Site Operations role at Gilead Sciences in Tokyo, Japan, offers a strategic leadership position reporting to the Senior Director of Site Operations for Intercontinental, Japan, China, and GPS regions. This position supports the VP and Senior Leadership Team in managing Japan operations, which include the country HQ office in Tokyo and 28 material warehouses nationwide. Key Responsibilities

In this leadership role, you will spearhead facilities and site operations with a focus on excellence and compliance:

• Lead, manage, and ensure accountability for Gilead and Kite Japan projects, delivering capital initiatives through third-party suppliers.
• Determine, develop, and execute the Corporate Engineering & Facilities (CEF) real estate strategy for 28 material warehouses, aligned with country business objectives.
• Supervise the Site Manager and Facilities Team to provide efficient on-site services, including hard and soft services with robust SLAs and KPIs.
• Provide country-level leadership, supporting regional business needs and collaborating with global Facilities & Operations (F&O) teams on space planning and workplace initiatives.
• Manage Leasehold Improvement, churn, and Operational Excellence projects while developing annual country plans and 3-year financial forecasts.
• Oversee Environmental, Health & Safety (EHS) and security operations, ensuring regulatory compliance and a safe workplace; coordinate monthly EHS committees and integrate with Gilead's global crisis management system, including SECOM for emergencies.
• Drive Business Continuity Management, including plans for crises and emergencies, working with internal and external experts.
• Conduct technical reviews of mechanical, electrical, EHS, security, and Business Continuity Plans; ensure legal compliance for all buildings and equipment across Japan.
• Develop procurement programs, outsourcing solutions, and SOPs to meet company policies and local regulations.

Qualifications & Requirements

To excel in this role, candidates should bring:

• Master’s degree in a relevant discipline, such as engineering, facilities management, or environmental health.
• Proven experience managing facilities at multiple sites in a corporate environment, highly preferred.
• Strong knowledge and experience in the pharmaceutical or highly regulated sector.
• Environmental, Health, and Safety (EHS) qualification.
• Demonstrated skills in project management, real estate strategy, vendor oversight, and regulatory compliance in Japan.

Performance will be measured by service delivery improvements, contract performance, accurate international masterplans, and enhanced technical capabilities for the Japan Facilities team.
