Purpose of the Position/Responsibilities

• Work together with external warehouse managers to ensure the support for internal warehouses and meet site and customer needs.
• Lead warehouse inventory and stock rotation to ensure alignment between physical and accounting records and complete annual, quarterly, and customized inventories.
• Arrange duties for customer inventory auditing, quarterly evaluations, and complete tallies in accordance with established procedures.
• Collaborate with external warehouse supervisors to plan, oversee, and coordinate all tasks involving the handling, storage, and distribution of materials to clients, while also performing associated clerical duties in accordance with quality guidelines, material preservation protocols, company policies, managerial instructions, and operational continuity requirements to facilitate effective manufacturing operations and timely delivery of finalized items to customers.

Specific Tasks/Primary Activities

Planning

• Partner with internal warehouses and the Planning and Logistics/Supply Chain team to coordinate tasks for external warehouses, ensuring timely delivery to production and customers through precise application of IT tools.
• Champion chances and incorporate Quality PPI solutions to boost efficiency in external warehouses and enhance current processes in alignment with guidelines and budgets.
• Collaborate and support the execution of actions from Quality PPI initiatives within the encouraged timeframes and methods.
• Coordinate with IT, Finance and internal warehouse managers to harmonize operations for internal and third parts warehouses and participate actively in customer inventory assessments, both quarterly and overall.
• Engage in customer visits and quality inspections (Audit), guaranteeing the execution and adherence to any resulting CAPA.
• Act as the main point of contact for internal and external warehouses concerning the coordination and organization of financial liquidations and material disposals.

Management

• Ensure external warehouse activities align with necessary quality standards, GMP/FDA regulations, and contracts, identifying and advocating for suggestions for procedure adjustments and ensuring their implementation.
• Help manages external warehouses to optimize stock levels, operations, and cost control.
• Act as the primary point of contact for external warehouses concerning the operations and needs of the Ferentino site.
• Monitor inventory discrepancies in both internal and external warehouses and collaborate with Finance, IT, and the team to update SAP and PMX stock levels.
• Work together with Thermofisher personnel at external warehouses, collaborating with internal warehouses.
• Secure meticulous supervision of external deposits employed by warehouses regarding inventory levels, expenditures, and duties to be driven, within the financial plan.

Receipt

• Assure the timely and accurate management of material reception and storage Outsourced warehouses by verifying and coordinating with their manager.

Movement

• Guarantee the readiness and shipment of materials for disposal or fiscal destructions within the set specified dates.
• Maintain timely, accurate, and quality handling of goods for production and customer shipments.
• Guarantee compliance with shipping timelines for items housed in external storage facilities.
• Collaborate with EH&S and Finance for fiscal destructions, material selection, and preparation and loading for dispatch to destruction.

Administration

• Verify data input into the information system for accurate warehouse accounting and inventory management in line with company standards.
• Ensure uniformity between physical and accounting stock quantities in SAP and PMX, the finalization and results of customer and year-end stock evaluations.
• Verify the accuracy of invoicing against existing contracts and budgets, promptly reporting any discrepancies.
• Propose, prepare, and maintain updated warehouse boards.

Personnel

• Work with the Quality Specialist to guarantee training completion by external warehouse staff within deadlines, specifically concerning GMP/FDA rules, following company policies.

Requirements and Qualifications

Important

• High school diploma, equivalent experience
• Administrative/accounting knowledge
• Safety regulations and laws
• IT knowledge: Office
• Professional experience in logistics within ISO 9000 certified production companies
• Languages: English
• Personality traits: Emotional stability, planning/programming skills, interpersonal expertise, strategic vision, relational ease

Desirable

• Background in the pharmaceutical industry

Proficiency in laws and regulations related to safety and environmental conservation.
