Role Description

The Administrative Assistant plays a pivotal role in the smooth operation of David Shattuck and team's financial planning practice. Reporting directly to David Shattuck, this position provides essential administrative support to ensure seamless daily operations and outstanding member experiences. From managing communications and scheduling to handling financial tracking and client relations support, you'll be the friendly face and efficient backbone of the team.

This is a fully in-office role based in Berlin, Wisconsin, offering 30-35 hours per week with flexibility to discuss full-time opportunities. Ideal for organized, tech-savvy individuals passionate about customer service in a financial services environment. Compensation starts at $20-22 per hour, based on experience, with a yearly employer retirement contribution provided.

Detailed Responsibilities

  • Handle incoming telephone calls for David Shattuck and team, responding professionally to requests for information and routing calls efficiently.
  • Greet and assist members and clients in person, creating a welcoming and positive first impression.
  • Manage and distribute postal mail and practice email, ensuring timely processing and confidentiality.
  • Order and maintain office supplies, tracking inventory to support uninterrupted operations.
  • Utilize Thrivent Financial computer systems and programs to support client relations, data entry, and reporting.
  • Drive client-facing activities by scheduling meetings with members on behalf of Financial Advisors.
  • Update the contact management system with accurate client/member contact details and preferences.
  • Assist Financial Advisors in preparing for and following up on client/member meetings, including materials and documentation.
  • Track practice expenses, oversee bill payments, and maintain financial records.
  • Provide backup support for non-licensed tasks to other team members as needed.
  • Participate in the business planning process, contributing insights on operations and improvements.
  • Prepare routine correspondence, reports, and special projects.
  • Complete miscellaneous administrative tasks to ensure practice efficiency.
