Role Description

The Administrative Assistant provides essential support to Three Pillars Financial Advisors, ensuring seamless daily operations and exceptional member experiences. Reporting directly to Matthew Townley, this part-time, onsite position in Chattanooga, TN, requires a friendly, upbeat professional who excels in a fast-paced environment. Hours are Monday through Friday, 1:00 p.m. to 5:00 p.m. (12:00 p.m. to 5:00 p.m. during training). Starting pay is $17 per hour, with an increase upon successful training completion. No benefits are offered for this part-time role.

This position is pivotal in driving client-facing activities, managing communications, and maintaining operational efficiency. You'll utilize Thrivent's proprietary systems to support client relations, handle administrative tasks, and contribute to the practice's success. Detailed Responsibilities

  • Handle incoming telephone calls to Three Pillars Financial Advisors, responding promptly to requests for information and routing calls efficiently.
  • Perform routine administrative duties, including maintaining office supplies inventory and processing incoming/outgoing postal mail.
  • Prepare or coordinate routine correspondence, reports, and special projects to support advisor workflows.
  • Drive client/member-facing activities by scheduling meetings on behalf of Financial Advisors using scheduling software.
  • Update the contact management system with accurate client/member contact details and preferences.
  • Assist Financial Advisors in preparing for and following up on client/member meetings, ensuring all materials are ready.
  • Track practice expenses, oversee bill payments, and maintain accurate financial records.
  • Provide backup support for unlicensed tasks to other staff members as needed.
  • Participate in the business planning process, offering insights on operational improvements.
  • Complete miscellaneous tasks as assigned, adapting to the practice's evolving needs.
  • Greet members warmly, creating a welcoming office atmosphere.
  • Manage practice email inbox, distributing messages and responding to inquiries.
