Role Description

The Administrative Assistant provides essential support to SageLife Financial Consultants, ensuring seamless daily operations. Reporting directly to the practice leads, this role is pivotal in maintaining a positive, efficient office atmosphere. You'll handle client interactions, manage administrative tasks, and utilize Thrivent's cutting-edge systems to support financial advisors. This on-site position in Huntsville demands a proactive, upbeat professional ready to multitask in a fast-paced setting.

Detailed Responsibilities

  • Handle incoming telephone calls to SageLife Financial Consultants, responding promptly to requests for information and routing calls efficiently.
  • Perform routine administrative duties, including maintaining office supplies inventory and processing incoming/outgoing postal mail and practice email.
  • Prepare or coordinate routine correspondence, reports, and special projects to support practice operations.
  • Drive client/member-facing activities by scheduling meetings on behalf of Financial Advisors using advanced scheduling tools.
  • Update the contact management system with accurate client/member contact details and preference information.
  • Assist Financial Advisors in preparing for and following up on client/member meetings, ensuring all materials are ready.
  • Track practice expenses meticulously and oversee bill payments to maintain financial accuracy.
  • Provide backup support for unlicensed tasks to other staff members as needed.
  • Complete miscellaneous administrative tasks, such as ordering supplies and utilizing Thrivent Financial computer systems for client relations.
  • Greet members warmly, contributing to a welcoming office environment that enhances the overall member experience.
