Role Description

The Administrative Assistant at Inspired Wealth Advisors provides essential support to our team of dedicated wealth advisors. This on-site position in Lexington, KY, is the cornerstone of our client-centric operations, ensuring seamless daily workflows and exceptional experiences. Reporting directly to Inspired Wealth Advisors, this full-time role (8:30 AM – 5:30 PM, Monday–Friday, with a 1-hour lunch) demands a proactive, detail-oriented professional who excels in fast-paced settings. You'll handle administrative tasks, client engagement, event coordination, and process optimization to drive practice efficiency and growth. Detailed Responsibilities

  • Client Reception & Communication: Answer phones professionally, greet clients warmly, manage email and postal mail, and serve as the primary point of contact to foster lasting relationships.
  • Scheduling & Calendar Management: Coordinate client appointments, maintain advisor calendars, and resolve scheduling conflicts using tools like Outlook or CRM systems.
  • Documentation & Reporting: Prepare correspondence, financial reports, compliance documents, and routine office materials with precision and confidentiality.
  • Event Planning & Execution: Plan, coordinate, and execute client appreciation events, educational workshops, seminars, and community outreach activities.
  • Event Logistics Mastery: Handle all aspects including venue selection, catering arrangements, digital/physical invitations, RSVP tracking, budgets, and post-event follow-ups.
  • Marketing Support: Assist with marketing campaigns, social media updates, newsletter distribution, promotional materials, and lead generation efforts.
  • Operational Excellence: Manage office supplies, vendor relationships, compliance filings, data entry, and process improvements to streamline workflows.
  • Technology & Systems: Utilize financial software (e.g., CRM, portfolio management tools), Microsoft Office Suite, and emerging tech to enhance productivity.
  • Team Collaboration: Support advisors with research, meeting preparation, travel arrangements, and ad-hoc projects while upholding Thrivent's high standards.

Compensation Overview

Competitive hourly rate of $18–$25/hour based on experience, skills, and performance. Total compensation may include performance bonuses tied to team success. Annualized estimate: $37,440–$52,000 (based on 40-hour week).
