Role Description

The Administrative Assistant provides essential support to Aegis Wealth Advisors, ensuring seamless daily operations and exceptional member experiences. Reporting directly to Geoff Delahanty, this role demands a friendly, professional attitude to handle client interactions, manage office functions, and utilize Thrivent's proprietary systems. This full-time position is based in our Lakewood, CA office—no remote work. You'll play a pivotal role in client-facing activities, from greeting members to scheduling appointments and maintaining records, all while upholding Thrivent's high standards of confidentiality and service excellence.

Detailed Responsibilities

  • Handle incoming telephone calls to Aegis Wealth Advisors, responding promptly to requests for information and routing calls efficiently.
  • Perform routine administrative duties, including maintaining office supplies, processing incoming/outgoing mail, and distributing practice emails.
  • Prepare and coordinate routine correspondence, reports, and special projects to support team objectives.
  • Drive client/member engagement by scheduling meetings on behalf of Financial Advisors and updating contact management systems with accurate client preferences.
  • Assist Financial Advisors in preparing for and following up on client meetings, ensuring all materials are ready and notes are documented.
  • Track practice expenses, oversee bill payments, and manage financial documentation with precision.
  • Provide backup support for unlicensed tasks to other staff members as needed.
  • Participate in the business planning process, offering insights on operational improvements.
  • Utilize Thrivent Financial computer systems and programs to support client relations and reporting.
  • Complete miscellaneous tasks as assigned, adapting to the fast-paced needs of a wealth advisory practice.
  • Greet and assist members in-person, creating a welcoming atmosphere that reflects Thrivent's values.

Compensation Overview
