Role Description

The Administrative Assistant plays a pivotal role in delivering exceptional client experiences and ensuring seamless operations at our Thrivent practice in Columbus, Nebraska. As the first point of contact for clients and team members, you'll bring a friendly, upbeat demeanor and unwavering commitment to excellence. This position involves administrative support, client engagement, event planning, process improvements, and operational tasks.

Detailed Responsibilities

Administrative Operations

  • Answer phones professionally, greet clients warmly, and manage email and postal mail efficiently.
  • Schedule client appointments, maintain calendars, and coordinate meetings using tools like Outlook and scheduling software.
  • Prepare correspondence, reports, presentations, and routine office documentation with precision.
  • Organize and maintain physical and digital files for easy access and compliance.

Client Engagement, Event Planning & Execution

  • Assist in planning, coordinating, and executing client appreciation events, educational workshops, seminars, and community engagement activities.
  • Manage event logistics including venue selection, catering arrangements, invitations, RSVPs, budgets, and post-event follow-ups.
  • Enhance client relationships through personalized communications and proactive support.
  • Support marketing efforts by updating client databases and preparing promotional materials.

Process Improvement & Operational Support

  • Identify opportunities for process enhancements to boost efficiency and client satisfaction.
  • Handle operational tasks such as ordering supplies, managing office equipment, and vendor coordination.
  • Assist with compliance documentation, data entry, and reporting for financial planning activities.
  • Collaborate with the team to ensure smooth daily operations and adaptability to changing needs.
