Role Description

The Client Service Administrator reports directly to the Flint Hills Group leadership and serves as the heartbeat of client interactions. You'll manage appointment scheduling, execute outbound communication campaigns, prepare comprehensive meeting materials, and provide top-tier support to ensure every client interaction is smooth and successful. This role emphasizes proactive engagement, from birthday recognitions to structured call lists, fostering long-term relationships in the Manhattan, Kansas area.

Detailed Responsibilities

Client Scheduling & Communication

  • Masterfully manage appointment scheduling in Salesforce, prioritizing A/B/C clients and special call lists for optimal efficiency.
  • Conduct outbound calls to current clients and warm prospects to nurture relationships and drive engagement.
  • Execute structured call campaigns, including birthdays, anniversaries, and focus projects, to maintain consistent client touchpoints.
  • Confirm appointments, send detailed meeting information, and maintain organized client folders for seamless experiences.

Meeting Preparation

  • Prepare comprehensive digital documents, e-signatures via DocuSign, and printed packets including Household Profiles, TCPs, Choice Dollars, financial illustrations, and tax worksheets.
  • Ensure all materials are accurate, client-ready, and aligned with Thrivent's high standards.

Client Service Support

  • Answer inbound calls professionally, document interactions meticulously, and schedule meetings promptly.
  • Guide clients through DocuSign processes and provide clear instructions for accessing important documents.

Relationship Management

  • Recognize and celebrate client milestones like birthdays and anniversaries with personalized cards and outreach.
  • Maintain high levels of client engagement to build loyalty and support Flint Hills Group's growth in Manhattan, Kansas.
