Role Description

The Executive Assistant position at Approach Path Financial Advisors provides essential administrative support to our dedicated financial advisors. Reporting directly to Alan Writer, this part-time role (approximately 25 hours per week, 2-3 days) is based in our Auburn, Washington office, with one monthly trip to Everett. Ideal for organized professionals with a friendly, upbeat demeanor, you'll handle daily operations to enhance member experiences and drive practice efficiency.

Detailed Responsibilities

  • Handle incoming telephone calls to Approach Path Financial Advisors, responding promptly to requests for information and ensuring a positive first impression.
  • Optimize advisors' calendars and schedules, coordinating meetings, appointments, and client-facing activities to maximize efficiency.
  • Perform routine administrative duties, including maintaining office supplies, handling filing (both digital and physical paper files), and organizing documents.
  • Prepare or coordinate routine correspondence, reports, and special projects, leveraging Thrivent Financial computer systems.
  • Support projects, administer various programs, and manage processing functions as needed to keep operations running smoothly.
  • Drive client/member engagement by scheduling meetings on behalf of financial advisors, enhancing practice growth.
  • Provide back-up support for unlicensed tasks to other staff members, ensuring seamless team functionality.
  • Manage postal mail and practice email distribution, maintaining confidentiality and accuracy.
  • Complete miscellaneous tasks as assigned, demonstrating adaptability in a dynamic financial advisory environment.
  • Greet and assist members in-person, contributing to a welcoming office atmosphere.
