Role Description

The Operations Coordinator provides essential administrative support to the Flint Hills Group, ensuring seamless back-office operations. This part-time position (20-25 hours/week) reports directly to the group leadership and is employed by Flint Hills Group in partnership with Thrivent. You'll manage paperwork, financial processes, compliance, office logistics, and client communications, playing a pivotal role in maintaining accurate records and supporting the financial team's success. Detailed Responsibilities

Paperwork & Documentation

  • Complete and manage forms using DocuSign and traditional paper processes.
  • Assist clients via phone to ensure accurate document completion.
  • Track, follow up, and manage pending documents, beneficiary changes, and applications.
  • Upload and organize completed documents in Salesforce for precise record-keeping.

Administrative & Financial Support

  • Handle QuickBooks entries, payroll processing, billing, and tax filings.
  • Maintain all necessary compliance documentation.
  • Reconcile accounts and prepare monthly reports plus on-demand financial summaries.
  • Monitor and manage pending business opportunities and pipelines.

Office Management

  • Order and maintain stocks of office supplies, snacks, and meeting materials.
  • Process incoming mail, packages, scanning, and secure shredding of sensitive documents.

Compliance & Recordkeeping

  • Ensure all documentation adheres to company and regulatory standards.
  • Complete mandatory training and sustain compliance certifications.

Marketing Support and Communications

  • Draft and distribute periodic correspondence to clients and prospects, including Playground (Headlights and Taillights) updates.
  • Coordinate with the Client Advisory Board (CAB) for effective communication.
  • Manage email playground communications and distribution lists.
