Pharmacy Tech Education Coordinator

Department: In-patient Pharmacy                          

Location: Trinity Health Ann Arbor

About the Department

The inpatient pharmacy at Trinity Health Ann Arbor is open 24 hours a day, 7 days a week, servicing inpatients, the emergency department, operating rooms and multiple procedural areas.

Clean room operations are accredited by Joint Commission for adherence to the highest standards of USP 797 and 800.  Trinity Health Ann Arbor is also the lead location for the national Trinity Health Pharmacy Education and Advancement of Technicians (THE-PEAT) training program to educate pharmacy students to become PTCB, licensed Pharmacy Technicians.

Position Purpose

Develops and implements the Pharmacy Technician education and orientation program. Duties include planning, developing, facilitating, implementing, and conducting staff orientation and continuing education programs. Independently works with students enrolled in THE‑PEAT program, providing guidance and instructional support throughout their progression while ensuring all activities and educational standards align with ASHP Accreditation requirements. Responsible for the development and documentation of policies and procedures related to education for pharmacy services. Assumes accountability for specific projects and/or activities. Analyzes, designs, implements, mentors, and assists in the evaluation of pharmacy technicians during their orientation period. Performs independent judgment, advanced technical skills, and creative problem‑solving. Demonstrates performance that consistently meets quality assurance standards. Maintains Pharmacy Technician skills by staffing one shift per week.

SKILLS, KNOWLEDGE, EDUCATION AND EXPERIENCE:

Education: Associate’s in Business, Healthcare, Pharmaceutical or other related field   and/or equivalent years of relevant experience is required.

Experience: Five years of experience at the Pharmacy Technician level with progressively more responsibility.

Licensure:  National certification as a Certified Pharmacy Technician preferred.  Current and ongoing maintenance of State of Michigan Pharmacy Technician license required.   Maintenance of twenty continuing education credits every two years, or as required to maintain a Certified Pharmacy Technician classification.

REQUIRED SKILLS AND ABILITIES

  • Interpersonal skills necessary to communicate effectively within the Pharmacy department and with trinity Health colleagues, patients, and visitors.
  • Effective oral communication skills to lead and direct Pharmacy staff, and to participate constructively in meetings and programs.
  • Effective written communication skills to compose memorandums, policies and procedures, performance documentation, and training and testing materials.
  • Pharmaceutical knowledge commiserates with a certified pharmacy technician to function on-line as work volume dictates.
  • Ability to concentrate and pay close attention to detail for up to 100% of the time when performing on-line functions.
  • Ability to maintain intravenous aseptic technique standards.
  • Advanced computer skills to perform in an office environment, retrieve data, generate reports, and function in an on-line position.

ESSENTIAL FUNCTIONS

  • Assumes the primary responsibility to independently plan and direct the functional activities of the pharmacy technicians and specialist technicians to provide high quality pharmacy services.
  • Assesses and oversees the technician responsibilities for hospital-wide medication distribution system.
  • Functions as a staff technician and specialist technician as workload dictates.
  • Assumes the primary responsibility to coordinate and modify the technician responsibilities to meet established deadlines. 
  • Serves as a primary liaison with Pharmacy Management.
  • Coordinates technical activities with the professional and managerial staff to ensure the delivery of pharmacy services across the full continuum of patient care and to maximize the utilization of technical colleagues for expanded roles as appropriate.
  • Assigns on-line tasks, departmental projects, and administrative assignments to ensure the coordination and timely completion of urgent tasks.
  • Develops flexible workflow patterns, staffing models, and efficient distributive procedures to deliver high quality, patient-centered, pharmaceutical services. Revises assignments as needed to meet changing work volumes and staffing patterns. 
  • Ensures all technician education, training, and experiential learning activities comply with ASHP/ACPE Accreditation Standards and Trinity Health policies. Monitors, audits, and documents compliance metrics required for accreditation.
  • Provides individualized instruction, coaching, and mentorship to pharmacy technician students and new hires throughout their learning progression. Designs, updates, and implements curriculum, learning objectives, lesson plans, and training materials in alignment with regulatory and accreditation standards.
  • Monitors the technician personnel budget variances, plans adjustments accordingly, and advises Pharmacy Management of changes, and implements appropriate changes.
  • Assists with recruiting and interviewing, qualified technical personnel.
  • Assist with initiating, developing, implementing, and monitors departmental training and testing procedures. 
  • Maintains current documentation. Evaluates employee proficiency, determines when additional training or re-testing is necessary, and develops a plan for performance improvement and subsequent monitoring.
  • Initiates and maintains departmental orientation manuals, training checklists, and internal examinations Compiles, prepares, and presents Performance-Development Plan for technicians within established deadlines. 
  • Maintains appropriate documentation to ensure that employee appraisal ratings can be supported.
  • Provides input for Performance Reviews- for all technicians. Presents recommendations and justification for technician promotion, demotion, or termination to Pharmacy Management, as appropriate.
  • Monitors technician compliance with departmental and trinity Health – Ann Arbor policies and procedures. 
  • Documents policy violations and informs Pharmacy Management when necessary for employee counseling requirements.
  • Selects and develops opportunities for technician continuing education and in-services.  Provides flexible scheduling, accessible materials, and post-testing to support a high level of technician competency.
  • Provides guidance and direction to employees to assist with their development as technicians.
  • Develops objectives and innovative programs to meet the service needs of our customers.
  • Attends, and participates in monthly departmental technician meetings, monthly specialist technician meetings, and prepares meeting minutes for manager review and distribution. 
  • Participates in all monthly meetings as assigned by Pharmacy Manager.  Initiates drafts and recommends departmental policies and procedures to Pharmacy Management on an ongoing basis. 
  • Monitors and suggest revisions to policy changes when necessary. Initiates, develops, and monitors quality indicator programs. 
  • Maintains related documentation for ongoing programs. 
  • Reports status and results of quality indicator measures to Pharmacy Management.
  • Recruits’ technicians to participate in data collection and subsequent documentation.
  • Participates in departmental strategic planning and goal-setting activities as assigned.
  • Maintains a working knowledge of external regulatory agencies (e.g., Joint Commission on Accreditation of Healthcare Organizations, Michigan Public Health, etc.) to meet hospital requirements.  Participates in preparation for inspections and assists with regulators during surveys.
