  • Coordinate program activities for various Ambulatory Operations projects driven by the AVP.
  • Independently coordinate and schedule meetings for the Executive(s), including standing meetings and responding to meeting requests.
  • Screen and refer incoming phone calls and visitors, ensuring accurate and timely communications and presenting the Administrative office in a positive manner.
  • Assist with projects specific to assigned Executive’s area of responsibility.
  • Determine priorities for meetings, schedule meetings, collect agenda items, prepare agendas, and compose minutes as requested.
  • Coordinate with high-level external executives and officials who develop and maintain integral relationships with WVU Medicine and its executive team.
  • Regularly engage in a variety of contacts with external and internal publics to obtain or exchange information and arrange meetings, often dealing with influential or important individuals.
  • Assist in travel arrangements and reimbursement paperwork.
  • Assist the Program Coordinator, Academic Affairs Manager, Administrative Directors, and Assistant Vice President as needed.
  • Maintain proper levels of office inventories to allow staff to complete assigned responsibilities.
  • Monitor and order dietary supplies as needed for individual meetings, receptions, etc., and appropriately review and route invoices for payment.
