WVU Medicine is seeking a highly organized and detail-oriented Administrative Specialist to join our team at the Health Sciences Center in Morgantown, West Virginia. Responsibilities

  • Provide general administrative support functions to assigned Executive(s).
  • Coordinate program activities for various Ambulatory Operations projects driven by the Assistant Vice President.
  • Independently coordinate and schedule meetings for the Executive(s), including standing meetings and responding to meeting requests.
  • Screen and refer incoming phone calls and visitors, ensuring accurate and timely communications and a positive presentation of the Administrative office.
  • Assist with projects specific to the assigned Executive’s area of responsibility.
  • Determine priorities for meetings, schedule meetings, collect agenda items, prepare agendas, and compose minutes as requested.
  • Coordinate with high-level external executives and officials who maintain integral relationships with WVU Medicine and its executive team.
  • Regularly engage in a variety of contacts with external and internal stakeholders to obtain or exchange information and arrange meetings.
  • Assist with travel arrangements and reimbursement paperwork.
  • Assist the Program Coordinator, Academic Affairs Manager, Administrative Directors, and Assistant Vice President as needed.
  • Maintain proper levels of office inventories to allow staff to complete assigned responsibilities.
  • Monitor and order dietary supplies as needed for meetings and receptions.
  • Appropriately review and route invoices for payment.
  • Provide administrative support for other administrative units and functions.
  • Update and monitor the department website.
  • Coordinate division events and conferences.
  • Process patient dismissals at the request of providers/departments.
