Responsibilities

  • Provide general administrative support to assigned Executive(s)
  • Coordinate programs for various Ambulatory Operations projects driven by the AVP
  • Independently assist in coordinating and scheduling for the Executive(s), including standing meetings
  • Respond to meeting requests as needed
  • Screen and refer incoming phone calls and visitors, ensuring accurate and timely communication
  • Present the Administrative office in a positive and professional manner
  • Assist with projects specific to the assigned Executive’s area of responsibility
  • Determine priorities for meetings, schedule meetings, and collect agenda items
  • Prepare agendas and compose minutes as requested
  • Coordinate with high-level external executives and officials who maintain relationships with WVU Medicine
  • Engage with external and internal stakeholders to obtain or exchange information and arrange meetings
  • Handle interactions with individuals influential to the Hospital with poise and tact
  • Assist with travel arrangements and reimbursement paperwork
  • Support the Program Coordinator, Academic Affairs Manager, Administrative Directors, and Assistant Vice President as needed
  • Maintain proper levels of office inventories to ensure staff can complete assigned responsibilities
  • Monitor and order dietary supplies as needed for meetings and receptions
  • Review and route correspondence and reports
  • Maintain and update files and records
  • Prepare reports and presentations
  • Assist with budget preparation and tracking
  • Coordinate office events and meetings
  • Manage incoming and outgoing mail and correspondence
