The Coordinator of Student Programs at WVU Medicine's Health Sciences Center plays a vital role in supporting the educational mission of the Family Medicine department. This position provides comprehensive administrative support to the Family Medicine Third Year Clerkship, Family Medicine Residency, and Family Medicine Faculty. The Coordinator acts as a key liaison between students, residents, faculty, and various administrative offices within WVU Medicine and the WVU School of Medicine. This role requires excellent organizational, communication, and interpersonal skills, as well as the ability to manage multiple tasks simultaneously.

A Day in the Life

On any given day, the Coordinator of Student Programs might:

  • Coordinate the schedules for medical students rotating through the Family Medicine Clerkship.
  • Assist with the onboarding of new residents, ensuring they have the resources and information they need to succeed.

Responsibilities

  • Provide administrative support to Family Medicine, Third Year Clerkship, Family Medicine Residency, and Family Medicine Faculty.
  • Establish and maintain a working relationship with the WVU School of Medicine Office of Student Services, WVU Office of Graduate Medical Education, Family Medicine Core Faculty and Residency Program Director and Associate Residency Program Director, Admissions and Records, Family Medicine staff, faculty, residents and physicians throughout the State of West Virginia.
  • Obtain block rotation schedules from the Office of Student Services through SOLE for the academic year and initiate scheduling of facilities and media equipment for each block rotation.
  • Assist Family Medicine Residency Manager in preparing schedules for current and incoming residents.
  • Prepare list of required textbooks for rotation and notify WVU Health Sciences Center Bookstore of the quantity required to be purchased for the academic year.
  • Assist Family Medicine Residency Program Manager in determining needs of incoming and current residents.
  • Communicate (as directed) to residents.
  • Initiate, prepare all modification, addition and evaluation forms of the course for the Clerkship Director to review and submits to the appropriate entity.
  • Assist the Residency Program Manager in preparation, modification, addition and evaluation forms for residents.
  • Initiate, prepare and confirm orientation scheduled for each block rotation.
  • Assist Residency Program Manager in preparing and confirms residency schedules for current and incoming residents.
  • Schedule and confirm each orientation faculty lecturer.
  • Assist Residency Program Manager with scheduling, confirming, and helping setup for didactic and resident lectures and presentations.
  • Gather information and updates online clerkship syllabus and assists Residency Program Manager with residency program syllabus.
  • Post orientation schedules to the Family Medicine Clerkship Sole site.
  • Assist Residency Manager in posting and maintaining residency related items in SOLE.
  • Confirm dates of on campus/clinic assignments for students and residents.
  • Initiate, schedule and confirm students in multiple clinical settings during the eight-week rotation.
  • Assist Residency Manager in scheduling/confirming resident continuity clinic schedules, nursing home rotations, and rotations in other departments.
  • Post students and residents that are to be placed on the Family Medicine On-call schedule.
