Provider Credentialing & Onboarding Coordinator at WVU Medicine

Role Overview

The Provider Credentialing & Onboarding Coordinator plays a vital role in ensuring that all physicians and Advanced Practice Providers (APPs) are properly credentialed and onboarded at WVU Medicine. This position involves managing the entire credentialing lifecycle, from initial application to reappointment, and requires close collaboration with various internal and external stakeholders. This coordinator ensures all relevant provider credentials, licenses, degrees, privileges, and certifications are transitioned smoothly upon the signing of a new provider. This role has operational ownership of the centralized credentialing process, interfacing with new providers (Physicians & APPs), gathering paperwork from CVO or other institutional governance body, and coordinating all relevant documents, authorizations, and credentials for submission processes. The role works closely with departmental leadership, leaders throughout the system and other facilities including Departmental Leaders, Recruitment, Onboarding, Medical Staff Affairs, Hospital Medical Directors, Community Office Managers, HPN, and various State Board entities.

  • Interact with references and facilitate communication between physicians and the onboarding team.
  • Act as the liaison between medical staff affairs/provider enrollment and incoming providers.
  • Set up and coordinate practice and collaborative agreements for APPs.
  • Manage monthly meeting minutes for weekly calls and scheduling for APPs.
  • Function as the APP payroll representative and assist with time off requests and other clerical functions.
  • Coordinate the completion of reappointment packets with providers, including building complex reports.
  • Track state licenses, board certifications, and training/educational certifications to ensure compliance.
  • Maintain up-to-date records for each provider.
  • Manage all provider evaluations (FPPE and OPPE) - quarterly and yearly.
  • Coordinate multi-department signatures and obtain medical staff approval.
